Please read these T&C 1s in conjunction with the Show T&C on the Emley show website Covid 19 guidance. The Emley show Society remains committed to working with the local authority to bring covid safe events to the Emley Showground following covid restrictions. Health & Safety

Exhibitors must agree to comply with such provision of the health and Safety Act at work 1974 and subordinate legislation as may apply to the show. Exhibitors must agree to comply with the Emley show health and safety procedures which can be found on our website www.emleyshow.co.uk

Smoking is not allowed in any of the marquees, this also include the use of electronic cigarettes.

Animals are not allowed in any of the marquees selling or displaying food. Guide Dogs and assistance animals are exempt from this rule.

Exclusivity

We do not guarantee exclusivity for any product to be sold by any trader, either in the outside trade stands or in the inside craft, countryside, food marquees.

Movement of traffic on show ground

Movement of motorised vehicles on the showground between 8:45 AM and 5:30 PM is prohibited. Exceptions will be made for animal welfare and rapid transit of emergency vehicles. Any movement of vehicles between these times must be guided by a show official.

All vehicles must display the vehicles gate pass whilst on the show ground.

Cancellations & Refunds

Cancellation by Trade Stand Exhibitor- Cancellation of a trade stand space booked following payment, for any reason the following refunds will be applicable: •

An 80% refund will be processed, if all stalls in the area you have booked are sold and on the proviso that all passes are returned 10 days before the show.

Cancellation by Organiser-

If at the absolute discretion of the Society the Showground and car parks become unfit or unavailable for occupancy or it becomes impossible or impractical to hold the Show for reasons beyond the control of the Society including (without limitation) fire, flood, storm, government intervention, malicious damage, acts of war, acts of God, strikes, riots, disease or any other cause the Society reserves the right (but shall not be obliged to) cancel the Show. In these circumstances the parties agree and acknowledge the Society shall endeavour to refund the exhibitor any payment already made including tickets less 20%. However, if the Show is cancelled once it has commenced stand fees will not be refunded.

Insurance

All trade stand exhibiters must have public liability insurance and confirm details with their application. Trade stand must be prepared to produce written evidence of insurance on the day upon the request of a show official. (minimum cover for small stands is £1m, but we recommend £5m)
Risk assessment All trade stand applicants must complete a risk assessment form and return it with their application.

Data protection

Emley Show society limited, are committed to protecting your personal data and processing it only in accordance with legal requirements. The Society shall have permission to store, process and retain, including electronically, all data and personal information provided by exhibitors, for the purposes of operating the Show and maintaining appropriate records. We retain your data in accordance with our retention schedule to simplify future applications. The name, contact details and any promotional material provided by an exhibitor may be used in Show catalogues, on the Show website and elsewhere as part of the operation and promotion of the Show and future Shows. We will not transfer your data outside of the EEA (European Economic Area) and will not share your data with third parties

Generators

No petrol generators are permitted on the show ground.

Generator should be fitted with noise suppression. Any generator which is causing a noise or fume nuisance to traders/ the public will be requested to be switched off.

We request that you are mindful when citing the generator of hot exhaust gases etc generators are not permitted in enclosed areas.

It is not permitted to refill generators on site or to store fuel on the show ground. Details of size, means of noise suppression and details of certification must be available for inspection.

Generators should be in a good condition and maintained. Health and safety officers reserve the right to request servicing documentation.

Balloons

It is not permitted to use, sell, give away any kind of balloons including helium promotional ones, anywhere on the show ground site.

The use of drones, Chinese lanterns and kites is not allowed on or around the show ground.

Leaflets

It is not permitted to walk around the show ground handing out leaflets. Leaflets may only be handed out customers at trade stands when information is requested.

Cable ties

Only high visible/ fluorescent tie wraps can be used on the show ground.

Food hygiene certificate

All stall holders who are selling food products should hold the basic food hygiene certificate as a minimum and display their current food hygiene certificate.
