Terms and Conditions of Ticket Sales, Entry, Show Classes, Trade Stands and Exhibitors

These Terms and Conditions apply to all visitors, ticket holders, class entrants, competitors, exhibitors, trade stand holders, contractors, volunteers and other persons attending or taking part in Emley Show 2026.

By buying or using a ticket, entering the Showground, submitting a class entry, booking a trade stand or exhibit space, or otherwise participating in the Show, you agree to comply with these Terms and Conditions and with all reasonable instructions given by the Organiser, stewards, security staff, officials, judges, veterinary personnel, emergency services and venue management.

1.Definitions

1.1 “Organiser”, “we”, “us” and “our” means [Emley Show Society / legal entity name], its officers, committee members, employees, agents, stewards, volunteers and appointed contractors.

1.2 “Show” means Emley Show 2026.

1.3 “Showground” means the venue, car parks, rings, marquees, animal areas, trade areas, public areas and all other land or facilities used for the Show.

1.4 “Ticket Holder” means any person holding, purchasing or using a ticket for admission.

1.5 “Visitor” means any member of the public attending the Show, whether paid, complimentary or otherwise.

1.6 “Entrant” means any person entering a show class, competition or display.

1.7 “Trade Stand Holder” means any person, business, charity, organisation or exhibitor booking a trade stand, stall, pitch, catering unit or promotional space.

1.8 “Exhibitor” means any person, business, organisation or individual exhibiting livestock, animals, vehicles, machinery, produce, crafts, goods, services or displays.

Part A — Ticket Sales and General Admission

2. Tickets and admission

2.1 Tickets are valid only for Emley Show 2026 on the date stated on the ticket and are subject to these Terms and Conditions.

2.2 Admission is subject to capacity, safety requirements, licensing conditions and compliance with these Terms and Conditions.

2.3 The Organiser may refuse admission or remove any person from the Showground where, in its reasonable opinion, that person:

  • breaches these Terms and Conditions;
  • acts in a threatening, abusive, unsafe, intoxicated, disorderly or anti-social manner;
  • endangers themselves, other visitors, animals, exhibitors, staff or property;
  • fails to follow reasonable instructions from stewards or officials;
  • attempts to enter restricted areas without authority;
  • brings prohibited items onto the Showground; or
  • otherwise disrupts the safe and orderly running of the Show.

2.4 No refund will be given where admission is refused or a person is removed because of their own conduct.

2.5 The Organiser reserves the right to operate bag checks, ticket checks and security searches as a condition of entry.

3. Ticket prices, concessions and children

3.1 Ticket prices, booking fees, age categories, concession criteria and any discounts will be stated at the point of sale.

3.2 Concessionary tickets may require proof of eligibility. If satisfactory proof is not produced, the difference between the concessionary and full ticket price may be payable before entry.

3.3 Children must be accompanied and supervised by a responsible adult at all times. Parents and guardians are responsible for the safety, behaviour and welfare of children in their care.

3.4 The Organiser may specify age limits for free child entry, junior tickets or family tickets. These must be complied with.

4. Online and advance ticket sales

4.1 Tickets purchased online or in advance are supplied for a specific leisure event on a specific date. Unless we state otherwise, tickets are non-refundable and non-transferable except as set out in these Terms and Conditions or as required by law.

4.2 You are responsible for checking your ticket order before purchase, including the date, number of tickets, category and price.

4.3 We are not responsible for tickets sent to an incorrect email or postal address supplied by you.

4.4 Tickets must not be copied, altered, defaced, resold for commercial gain, used in promotions without our written consent, or transferred in breach of any ticketing restrictions.

4.5 We may cancel any ticket that we reasonably believe has been obtained fraudulently, duplicated, resold unlawfully, advertised for unauthorised commercial resale, or otherwise misused.

5. Refunds, cancellation, abandonment and changes

5.1 The Show is an outdoor rural event. Programmes, displays, attractions, class times, judging arrangements, ring schedules, exhibitors and trade stands may change without prior notice.

5.2 Tickets are sold for entry to the Show as a whole and not for any specific display, attraction, class, exhibitor, trader, judge, performer or activity.

5.3 If the Show is cancelled before opening to the public, the Organiser will state the applicable refund or transfer arrangements as soon as reasonably practicable.

5.4 If the Show opens but is later curtailed, suspended, delayed, interrupted or abandoned due to weather, safety concerns, disease control, emergency, official instruction or other circumstances beyond the Organiser’s reasonable control, refunds will not normally be given, but the Organiser may consider refunds, partial refunds or transfers at its discretion.

5.5 Booking fees, postage fees, card charges or third-party ticketing fees may be non-refundable unless required by law or unless the relevant ticketing provider agrees otherwise.

5.6 The Organiser is not liable for travel, accommodation, subsistence, loss of earnings, wasted expenditure or other consequential losses arising from cancellation, postponement, delay, curtailment or abandonment of the Show.

5.7 Nothing in these Terms affects any statutory rights that cannot lawfully be excluded.

6. Weather, ground conditions and rural risks

6.1 Visitors acknowledge that the Show takes place on agricultural land and outdoor surfaces that may be uneven, wet, muddy, slippery or affected by weather.

6.2 Visitors should wear suitable footwear and clothing and take care around livestock, vehicles, machinery, temporary structures, fencing, ropes, cables, generators and other event infrastructure.

6.3 The Organiser may change the layout, restrict access to areas, close car parks, cancel classes, suspend displays or alter routes where reasonably necessary for safety, welfare, weather, operational or regulatory reasons.

7. Car parking and vehicles

7.1 Parking is at the owner’s risk. Vehicles and contents are left at the Showground at the owner’s responsibility.

7.2 Drivers must follow all traffic signs and instructions from parking stewards.

7.3 Vehicles must not block entrances, emergency routes, livestock routes, public highways, access tracks or neighbouring land.

7.4 The Organiser may move, arrange removal of, or report any vehicle parked dangerously, unlawfully or obstructively.

8. Prohibited items and conduct

8.1 Visitors must not bring onto the Showground:

  • illegal substances;
  • weapons or items that may be used as weapons;
  • fireworks, flares, smoke devices or pyrotechnics;
  • drones or unmanned aerial vehicles without prior written consent;
  • unauthorised alcohol for resale;
  • dangerous animals;
  • generators, barbecues or open flames without written permission;
  • promotional materials, banners or collection tins without written permission; or
  • any item the Organiser reasonably considers unsafe or inappropriate.

8.2 Smoking and vaping are prohibited in enclosed or substantially enclosed areas, marquees where signed, animal areas where signed, children’s areas and any other area designated by the Organiser.

8.3 Alcohol may be consumed only in accordance with licensing requirements and the Organiser’s instructions. The Organiser may refuse service or remove persons who are intoxicated or behaving irresponsibly.

9. Dogs and animals brought by visitors

9.1 Dogs may be admitted only if permitted by the Organiser and must be kept on a short lead and under control at all times.

9.2 Dogs are not permitted in livestock areas, food preparation areas, children’s play areas, rings or other restricted areas unless expressly allowed.

9.3 Assistance dogs are permitted, subject to any reasonable safety and animal-welfare arrangements.

9.4 Owners are responsible for cleaning up after their dogs and for any injury, loss or damage caused by them.

9.5 Dogs must not be left unattended in vehicles.

10. Accessibility and reasonable adjustments

10.1 The Organiser will take reasonable steps to make the Show accessible and inclusive, taking account of the nature of the Showground, weather, ground conditions and temporary event infrastructure.

10.2 Visitors requiring reasonable adjustments, accessible parking or essential companion arrangements should contact the Organiser in advance where possible.

10.3 The Organiser cannot guarantee that all areas of the Showground will be fully accessible in all weather or ground conditions.

11. Photography, filming and media

11.1 Photography and filming may take place at the Show for publicity, archive, press, social media, security and broadcast purposes.

11.2 By attending the Show, visitors acknowledge that they may be included incidentally in photography, video or audio recordings.

11.3 Commercial photography, filming, livestreaming or drone use requires prior written permission from the Organiser.

11.4 Parents, guardians, schools, clubs and youth organisations are responsible for notifying the Organiser in advance of any specific safeguarding concerns relating to photography of children in competitions or displays.

12. Data protection

12.1 The Organiser will process personal data relating to ticket purchases, entries, trade bookings, exhibitors, volunteers, complaints, incidents and event administration in accordance with its privacy notice.

12.2 Personal data may be shared with ticketing providers, payment processors, insurers, veterinary officials, local authorities, emergency services, judges, stewards and contractors where reasonably necessary for the administration, safety, legal compliance or operation of the Show.

12.3 Entrants, exhibitors and trade stand holders must ensure that any personal data they provide about other individuals is supplied lawfully and with appropriate notice to those individuals.

Part B — Show Class Entrants and Competitors

13. Application of class rules

13.1 These Terms apply to all show class entries, including livestock, equestrian, poultry, dogs, produce, horticulture, crafts, baking, children’s classes, vintage vehicles, machinery and any other competition or display class.

13.2 Entrants must also comply with:

  • the Show schedule;
  • class-specific rules;
  • entry forms;
  • timetable instructions;
  • animal health requirements;
  • judges’ and stewards’ instructions;
  • relevant breed society or governing body rules; and
  • applicable law and regulation.

13.3 If there is a conflict between these Terms and class-specific rules, the Organiser will decide which provision applies, acting reasonably.

14. Entries, eligibility and fees

14.1 Entries must be submitted by the closing date and accompanied by the correct entry fee, unless otherwise stated.

14.2 Late entries may be refused or accepted at the Organiser’s discretion.

14.3 Entrants are responsible for ensuring that all information supplied is accurate, including class numbers, animal identification, ownership, age, breed, qualification status and contact details.

14.4 The Organiser may refuse, cancel or transfer an entry if it is incomplete, inaccurate, ineligible, unsafe, contrary to the schedule, or otherwise unsuitable.

14.5 Entry fees are non-refundable unless the Organiser cancels the relevant class before the Show or decides otherwise.

15. Judging and awards

15.1 The judge’s decision is final, subject only to any formal objection procedure stated in the Show schedule.

15.2 The Organiser may substitute judges, alter judging times, amalgamate classes, divide classes, cancel classes or withhold prizes where reasonably necessary.

15.3 Prizes, rosettes, cups and trophies are awarded subject to eligibility, compliance with the rules and any sponsor conditions.

15.4 Perpetual trophies remain the property of the Organiser or trophy owner and must be returned by the date requested, clean and in good condition.

16. Conduct of entrants

16.1 Entrants must behave respectfully towards judges, stewards, officials, other competitors, visitors and animals.

16.2 Abuse, intimidation, harassment, cheating, misrepresentation, unsafe handling, doping, tampering, interference with judging, or failure to follow instructions may result in disqualification, removal from the Showground, forfeiture of fees and prizes, and refusal of future entries.

16.3 Entrants are responsible for the conduct of their grooms, handlers, assistants, family members, employees and agents.

17. Animal health and welfare

17.1 Entrants bringing animals to the Showground are responsible for ensuring that the animals are healthy, fit to travel, fit to be shown, properly identified, appropriately handled and accompanied by all required documentation.

17.2 Animals must not be brought to the Show if they show signs of infectious or contagious disease, have been exposed to notifiable disease, are subject to movement restrictions, or are otherwise unfit.

17.3 The Organiser, veterinary officer, animal health officer or steward may refuse entry to, isolate, remove or require the withdrawal of any animal where there are concerns about health, welfare, identification, disease control, safety or compliance.

17.4 Entrants must comply with all applicable animal movement, passport, vaccination, biosecurity, standstill, cleansing, welfare and disease-control requirements.

17.5 Entrants are responsible for feeding, watering, bedding, supervision, restraint and welfare of their animals at all times.

17.6 The Organiser may cancel or restrict animal classes or animal attendance due to disease risk, official instruction, weather, welfare concerns or other circumstances beyond its reasonable control.

18. Liability of entrants

18.1 Entrants are responsible for any injury, loss, damage, disease transmission, contamination, escape or incident caused by them, their animals, vehicles, equipment, employees, agents, handlers or assistants.

18.2 Entrants must hold appropriate insurance for their participation, animals, vehicles and equipment, including public liability insurance where reasonably required by the Organiser.

18.3 The Organiser may require evidence of insurance, licences, certificates, passports, risk assessments or other documentation before accepting an entry or permitting participation.

19. Objections and complaints

19.1 Any objection concerning eligibility, judging, conduct or class results must be made in writing to the Show Secretary within the time limit stated in the Show schedule or, if no time limit is stated, before the close of the Show on Show day.

19.2 The Organiser may require a deposit for objections, refundable if the objection is upheld.

19.3 The Organiser’s decision on complaints and objections is final.

Part C — Trade Stand Holders

20. Booking and allocation of trade stands

20.1 Trade stand applications are subject to acceptance by the Organiser. Submission of an application does not guarantee acceptance.

20.2 The Organiser may refuse or cancel any application where the proposed trade, goods, services, display, staffing, documentation or conduct is unsuitable, unsafe, unlawful, duplicative, inconsistent with the character of the Show, or otherwise inappropriate.

20.3 Stand locations are allocated by the Organiser. Specific locations may be requested but are not guaranteed.

20.4 The Organiser may alter stand positions, sizes, layouts, access routes or trading arrangements where reasonably necessary for safety, operational, licensing, animal welfare or ground-condition reasons.

21. Payment and cancellation by trade stand holders

21.1 Stand fees must be paid by the date specified by the Organiser. A booking is not confirmed until accepted by the Organiser and paid for in full unless agreed otherwise.

21.2 If a Trade Stand Holder cancels after acceptance, cancellation charges may apply as follows unless otherwise stated on the booking form:

  • cancellation more than [60] days before the Show: [full refund less administration fee];
  • cancellation between [30 and 60] days before the Show: [50% refund];
  • cancellation fewer than [30] days before the Show: no refund.

21.3 No refund will be given for non-attendance, late arrival, early departure, poor weather, reduced footfall, changes in layout or trading performance.

22. Set-up, operation and breakdown

22.1 Trade Stand Holders must comply with the set-up and breakdown times notified by the Organiser.

22.2 Stands must be ready for inspection and trading by the time specified and must not be dismantled before the permitted breakdown time without consent.

22.3 Vehicles may only enter the Showground at permitted times and must be removed to designated parking areas when required.

22.4 Trade Stand Holders must keep their stand area clean, tidy, safe and staffed during public opening hours.

22.5 All waste, stock, packaging, equipment and structures must be removed at the end of the Show unless the Organiser agrees otherwise.

23. Insurance, risk assessments and compliance

23.1 Trade Stand Holders must hold public liability insurance of not less than £[5 million] or such other amount as the Organiser reasonably requires.

23.2 Evidence of insurance must be provided on request and, where required, before the booking is confirmed.

23.3 Trade Stand Holders must provide risk assessments, method statements, food hygiene documents, gas certificates, electrical certificates, fire safety information, product safety information and other documents requested by the Organiser.

23.4 Trade Stand Holders must comply with all applicable laws, regulations, licences, standards and guidance relating to their activities, including health and safety, fire safety, food safety, trading standards, employment law, product safety, weights and measures, alcohol licensing, charity collections, gambling, raffles and data protection.

24. Food, drink and alcohol traders

24.1 Food and drink traders must hold all required registrations, hygiene ratings, allergen information, temperature-control procedures and food safety systems.

24.2 Alcohol may not be sold, supplied or sampled unless expressly authorised in writing by the Organiser and permitted under the relevant premises licence, temporary event notice or other authorisation.

24.3 The Organiser may require food and drink traders to use specified waste arrangements, water points, grease disposal and fire-safety controls.

25. Electricity, gas, generators and structures

25.1 Trade Stand Holders may not use generators, LPG, electrical installations, marquees, gazebos, temporary structures or cooking equipment unless approved by the Organiser.

25.2 All electrical equipment must be safe, suitable for outdoor use and, where appropriate, PAT tested or accompanied by competent inspection evidence.

25.3 LPG cylinders and gas appliances must be installed, secured, ventilated and certified in accordance with applicable safety requirements.

25.4 Marquees, gazebos and temporary structures must be fit for purpose, safely erected, weighted or anchored, flame-retardant where appropriate, and removed or made safe if required by the Organiser due to weather or safety concerns.

26. Goods, promotions and trading conduct

26.1 Trade Stand Holders may sell or promote only the goods, services or activities approved by the Organiser.

26.2 Counterfeit, illegal, unsafe, offensive, misleading or inappropriate goods or services must not be sold or displayed.

26.3 Trade Stand Holders must not use public address systems, amplified music, aggressive sales techniques, roaming sales, leafleting outside their stand, prize draws, collections or demonstrations without written consent.

26.4 Trade Stand Holders are responsible for their own sales, refunds, customer complaints, stock, takings, card payments and tax obligations.

27. Damage and indemnity

27.1 Trade Stand Holders are responsible for any damage caused to the Showground, fixtures, utilities, other stands, vehicles, stock, livestock or property by them or their employees, agents, contractors or visitors.

27.2 Trade Stand Holders must indemnify the Organiser against claims, losses, liabilities, costs and expenses arising from their stand, activities, goods, services, staff, contractors, vehicles, equipment or breach of these Terms, except to the extent caused by the Organiser’s negligence or breach of duty.

Part D — Exhibitors and Displays

28. Exhibitor obligations

28.1 Exhibitors must ensure that all exhibits, displays, demonstrations, animals, machinery, vehicles, equipment and materials are safe, lawful, properly supervised and suitable for a public event.

28.2 Exhibitors must comply with all instructions from the Organiser, stewards, safety officers, ring officials, veterinary officers and emergency services.

28.3 Exhibitors must not alter their display, demonstrate machinery, move vehicles, operate engines, light fires, use pyrotechnics, fly drones or create noise, smoke, fumes or other hazards without prior written consent.

29. Machinery, vehicles and demonstrations

29.1 Machinery and vehicles must be maintained in safe condition and operated only by competent persons.

29.2 Moving parts, sharp edges, hot surfaces, fuel, batteries, hydraulics and other hazards must be guarded, isolated or otherwise controlled.

29.3 Demonstrations must take place only in approved areas and at approved times.

29.4 Keys must be removed from unattended vehicles and machinery unless otherwise agreed for operational reasons.

30. Livestock and animal exhibitors

30.1 Animal exhibitors are subject to the animal health and welfare provisions in Part B, whether or not they are competing in a class.

30.2 Animals must be suitably restrained, supervised and separated from the public where necessary.

30.3 Public handling, feeding or contact with animals may take place only with the Organiser’s consent and appropriate hygiene, welfare and supervision measures.

30.4 Exhibitors must provide handwashing or sanitising arrangements where required by the Organiser or relevant authority.

31. Safety documentation

31.1 The Organiser may require exhibitors to provide insurance, risk assessments, method statements, safety certificates, operator qualifications, animal documentation or other evidence of competence and compliance.

31.2 Failure to provide required documentation may result in refusal of entry, cancellation of the display or removal from the Showground without refund.

Part E — General Legal Terms

32. Limitation of liability

32.1 Nothing in these Terms excludes or limits liability for:

  • death or personal injury caused by negligence;
  • fraud or fraudulent misrepresentation;
  • breach of statutory rights that cannot lawfully be excluded; or
  • any other liability that cannot lawfully be excluded or limited.

32.2 Subject to clause 32.1, the Organiser is not liable for:

  • loss, theft or damage to personal property, vehicles, equipment, stock, exhibits or animals, except where caused by the Organiser’s negligence or breach of duty;
  • indirect or consequential loss;
  • loss of profit, business, goodwill, anticipated savings, opportunity or publicity;
  • travel, accommodation or subsistence costs;
  • poor weather, reduced attendance or reduced trading;
  • changes to the programme, layout, timetable, judges, attractions, exhibitors or trade stands; or
  • events outside the Organiser’s reasonable control.

32.3 Visitors, entrants, exhibitors and trade stand holders are responsible for arranging their own insurance where appropriate.

33. Force majeure

33.1 The Organiser is not liable for failure or delay in performing its obligations where caused by circumstances beyond its reasonable control, including severe weather, flooding, drought, fire, disease outbreak, animal health restrictions, epidemic, pandemic, national mourning, war, terrorism, civil disorder, strike, utility failure, transport disruption, venue unavailability, police or local authority instruction, emergency services instruction, safety concern or change in law or regulation.

33.2 In such circumstances, the Organiser may cancel, postpone, relocate, curtail, suspend, alter or abandon the Show or any part of it.

34. Compliance with instructions and law

34.1 All persons attending or participating in the Show must comply with applicable law and with reasonable instructions issued by the Organiser and relevant authorities.

34.2 The Organiser may take any action it reasonably considers necessary to protect public safety, animal welfare, property, the environment, licensing compliance or the orderly running of the Show.

35. Safeguarding

35.1 The Organiser expects all visitors, entrants, exhibitors and trade stand holders to behave appropriately towards children and vulnerable adults.

35.2 Any safeguarding concern must be reported immediately to the Organiser, a steward, security officer or the police.

35.3 The Organiser may remove any person whose behaviour raises safeguarding concerns.

36. Complaints

36.1 Complaints should be raised with the Show Secretary or Organiser as soon as possible so that they can be investigated promptly.

36.2 Complaints made after the Show should be submitted in writing to [insert email] within [14] days of the Show.

36.3 The Organiser will aim to respond within a reasonable time.

37. Severance

37.1 If any part of these Terms is found to be invalid, unlawful or unenforceable, the remaining provisions will continue in force.

38. Changes to these Terms

38.1 The Organiser may update these Terms where reasonably necessary for legal, safety, operational, insurance, licensing or regulatory reasons.

38.2 The version published on the Organiser’s website at the time of the Show will apply, unless otherwise stated.

39. Governing law and jurisdiction

39.1 These Terms are governed by the law of England and Wales.

39.2 The courts of England and Wales will have jurisdiction, subject to any mandatory consumer rights that apply.

Recommended additions before publication

Add the following as separate linked documents or schedules:

  1. Privacy Notice covering ticketing, entries, trade bookings, photography, CCTV, incidents and data sharing.
  2. Refund Policy with clear cancellation/postponement wording and ticket-provider fee treatment.
  3. Show Schedule Rules for each class category.
  4. Animal Health Declaration and biosecurity rules.
  5. Trade Stand Booking Form with pitch size, insurance minimum, cancellation dates and utility options.
  6. Accessibility Information covering accessible parking, companion tickets, mobility limitations and contact details.
  7. Photography and Safeguarding Policy for children’s classes and youth exhibitors.
